Processes grant related travel for the Centers (Hearing Research, Audiology, Childhood Deafness, Language and Learning, and Sensory Neuroscience) and supporting the Research Administration office staff, performing routine clerical duties as assigned.

MAJOR RESPONSIBILITIES & DUTIES:

  • Performs general office duties including photocopying, collating, and assembling documents and computerized filing.

  • Assist with visitor agendas, travel arrangements and travel expense reports, including hotel, airline reservations, and conference registrations for visitors. Assist staff with Egencia Travel system and conference registrations as needed.

  • Data entry of information into databases.

  • Back-up to processing payroll.

  • Assist with reconciliations and supply ordering as needed.

  • Assist with filling library requests from all researchers as needed.

  • Under the guidance of the Compliance Analyst for IRB, assists with daily administrative activities including updating (RAD) database, tracking CITI/FCOI certificates, IRB website updates for protocol reports, running and posting IRB Reports, assisting with IRB meetings, and creating/updating monthly IRB newsletter.

  • Assists with special projects as assigned.

  • Sorts and distributes mail as needed.

  • Arranges for meetings, reserves rooms and audiovisual equipment. Prepares agendas, notices, and assists in meeting protocols whenever appropriate.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to perform a variety of clerical work with speed and accuracy. Use computer, internet, telephone, fax machine and photocopy machine.

  • Ability to apply common sense understanding to carry out simple written or oral instructions.

  • Attention to detail and following established standards/procedures required.

  • Ability to operate a wide variety of computer software programs (Microsoft Word and Excel; Outlook, and Web browsers.

  • Ability to communicate concisely, both orally and in writing.

  • Ability to maintain levels of confidentiality.

  • Ability to work independently.

  • Excellent telephone skills, interpersonal skills, close attention to details, and good math aptitude.

REQUIRED QUALIFICATIONS:

  • High school diploma or equivalent required.

PREFERRED QUALIFICATIONS:

  • Some college credit preferred.

PHYSICAL REQUIREMENTS, EQUIPMENT USAGE, WORK ENVIRONMENT:

  • Position is relatively sedentary in a normal office administrative environment involving minimum exposure to physical risks. Will use office equipment such as a computer/laptop, monitor, keyboard, and a general workstation set-up.
